STANDARD TERMS AND CONDITIONS OF SERVICE

SERVICES PROVIDED

• ALKENES will provide the equipment and professional services to the Client per the signed and accepted quotation.
• Prompt confirmation is advised as equipment is subject to availability at the time of sign-off.
• Services shall be performed in a professional and workmanlike manner.

• The contract fee is the amount stated on the quotation and includes Value Added Tax (VAT).
• This fee will not change unless expressly agreed through a variation order signed by both Parties.
• Overtime for technicians will be charged at a rate of P250 per person, per hour after 17h00 and P350 per person, per hour after 24h00.
• Sunday overtime will be charged at P350 per person, per hour.
• Overtime rates for specialized technicians (e.g., Video Operators) will be determined on a job-specific basis.

• Deposit: 50% of the quotation value (VAT incl.) is due upon acceptance and signature.
• Final Payment: The remaining 50% balance, including any additional costs incurred during the event, is due on completion of the hiring period.
• Cancellation: A cancellation fee of 100% of the contract value applies if the event is cancelled 5 days or less prior to commencement.
• ALKENES reserves the right to perform credit checks on the Client's business.

• Title to the equipment remains vested with ALKENES; the Client has no right, title, or interest therein.
• The Client shall not move equipment to another location or make any alterations/attachments without prior consent.
• Any damage or theft of the equipment during the event will be for the Client's account.
• The Client is liable for equipment damage except where caused solely by the gross negligence of ALKENES.

• Verification: The Client must verify equipment numbers with the technician at both the start and the end of the conference.
• Delegate Exchange: Delegates will be requested to hand in identification (ID, Driver’s License, or Passport) in exchange for a Headset and IR Receiver.
• Lost Equipment: Lost receivers will be charged at P3800.00 each and headsets at P170.00 each (excl. VAT).

• ALKENES warrants that all work complies with the relevant Health and Safety regulations.
• ALKENES personnel are suitably qualified and certified for their tasks.
• Neither party is liable for delays or failures resulting from causes beyond their reasonable control (Force Majeure), such as fire, flood, or labor disputes.
• In no event shall either Party be liable for indirect, incidental, or consequential damages, including loss of profits.

• Either Party may terminate this Agreement upon one day's written notice for failure to pay or failure to cure a material breach.
• ALKENES may terminate if it believes continuing would breach professional conduct rules within the Events industry.
• This Agreement is governed by the laws of Botswana.

• Note: These Terms and Conditions apply to the order only to the extent that the specific services or equipment (e.g., Interpretation, Sound, Projection, Lighting) are included in the signed quotation.
